The NYS Library uses the FDLP eXchange to manage needs and offers within the region to automate the workflow related to the disposition of FDLP materials. The eXchange review period established by the NYS Library allows 45 days for regional review and 15 days for selective review. We strongly suggest offering titles nationally to support libraries across the country expand their depository collections or support their work on digitization projects.
Contact us if you are planning a large weeding project of 250 items or more. We can oftentimes streamline the process for you and offer collection assessment tools and sample workflows. It also gives us the chance to plan and process your lists in a timely manner.
The contact person listed with GPO is the email address associated with your FDLP eXchange account. That person will need to sign in and add any additional users before those users will be able to log in. For questions or problems with passwords and logging in, email fdlpoutreach@gpo.gov.
The automated process allows libraries to manually enter records for items or upload spreadsheets. Libraries with the FDLP items cataloged can export data from their ILS to generate the spreadsheet. Once offers are listed, the eXchange automates the workflow and timeline so materials are offered first to the library’s regional depository, then to other selectives in the same region, and then to libraries across the country. Do not list any items on the eXchange with any water damage or mold. If you have any questions about the conditions of your materials or concerns about mold, contact the Regional Coordinator.
This tool is helpful for libraries to list items they need for digitization project and preservation responsibilities. If an item is missing from the collections of a preservation steward or in poor condition, the preservation steward can list the need on the eXchange. Items are automatically matched.
The FDLP has compiled training materials and templates related to the FDLP eXchange available on their website.
